This Privacy Policy explains how Techcanic Ltd ("Techcanic", "we", "us") collects, uses, shares, and protects information in connection with Edumintor — our school management platform used by administrators, teachers, and parents (the "Service"). It applies to the Edumintor website, web application, and mobile applications.

1. Who We Are

Edumintor is owned and operated by Techcanic Ltd, a company based in Accra, Ghana. For most School Data (student, teacher, and parent records submitted by a School), the School acts as the data controller and Techcanic acts as a data processor, providing the platform the School uses to manage that data. For account, billing, and platform usage information, Techcanic acts as the data controller.

2. Information We Collect

Account & institutional information: School name, address, branch/campus structure, and administrator contact details.

Student, staff & parent records entered by a School: names, dates of birth, class/enrolment details, attendance, exam and assessment results, fee and payment records, and parent/guardian contact information.

Communications data: messages sent through the platform's SMS, WhatsApp, and email/notification features, and the delivery status of those messages.

Payment information: billing details for School subscriptions, and — where a School enables pay-to-view results — transaction records for parent payments, processed by our payment gateway partners (we do not store full card details on our own servers).

Usage & device information: log data, device and browser information, and analytics collected via cookies and similar technologies, including Google Analytics.

3. How We Use Information

We use the information described above to: provide and maintain the Service; process attendance, results, and fee records as directed by Schools; deliver SMS, WhatsApp, and email notifications; process subscription billing and pay-to-view transactions; provide 24/7 customer support; monitor, secure, and improve the Service; and comply with legal obligations.

4. Legal Basis & Compliance

We process personal data in line with Ghana's Data Protection Act, 2012 (Act 843), and design our security and data-handling practices to meet the standards expected under similar data protection frameworks in other jurisdictions where our Schools operate.

Where a School submits student or parent data to Edumintor, the School is responsible for having a valid legal basis for doing so — including, where required, consent from parents or guardians.

5. Children's & Students' Data

Edumintor is used by Schools to manage records belonging to students who are minors. We do not collect student information directly from children; all student data is submitted by the School (or, where applicable, by a parent/guardian using their School-issued access) and is processed strictly to provide the Service to that School.

Parents can view their own child's information — such as results, attendance, and fee balances — through the parent portal using access issued by the School.

6. How We Share Information

We do not sell personal information. We share information only: with sub-processors that help us operate the Service — including SMS and WhatsApp messaging gateways, payment processors, and our cloud hosting provider — under agreements that require them to protect the data; as required by law or valid legal process; or with your School, since data you provide is visible to the School administering your account.

Third-party sub-processors are only given the access necessary to perform their specific function (for example, a messaging gateway receives only the phone number and message content needed to deliver a notification).

7. Data Security

We use industry-standard safeguards to protect School Data, including AES-256 encryption for data at rest and in transit, TLS/SSL-encrypted connections, role-based access controls, and daily automated backups.

No system is completely secure, and we cannot guarantee absolute security, but we continuously monitor and update our practices to reduce risk.

8. Data Retention

We retain School Data for as long as a School's subscription is active, and for a reasonable period afterward to allow for data export, in line with the SaaS Services Agreement. Alumni records, such as historical transcripts, may be retained for longer at a School's request to support ongoing academic verification. Schools may request deletion of their data subject to any legal retention obligations.

9. International Data Transfers

Our infrastructure and sub-processors may be located outside your country. Where personal data is transferred internationally, we take reasonable steps to ensure it continues to receive an appropriate level of protection, consistent with applicable data protection law.

10. Cookies & Tracking Technologies

Our website uses cookies and similar technologies, including Google Analytics, to understand site usage and improve our marketing pages. You can control cookies through your browser settings; disabling them may affect some site functionality.

11. Your Rights

Depending on your role and applicable law, you may have the right to request access to, correction of, or deletion of personal data. Requests relating to student, teacher, or parent records should generally be directed to the relevant School, as the data controller for that information; requests relating to your account or billing information with Techcanic can be sent directly to us at info@edumintor.com.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated to School administrators, and the "Last updated" date at the top of this page will reflect the most recent revision.
